Administrative Assistant

The Administrative Assistant provides administrative and clerical support to the Office Administrator and Ministry Directors of Hope Church Mississauga (HCM), assisting where needed while maintaining an open and flexible approach to various assigned tasks. This role involves administrative work and helping with tasks associated with the general organization of the HCM and the projects of the Ministry Directors.

  • Strong ability to prioritize tasks, manage time effectively, and maintain accurate records.
  • Well-organized, and able to design and maintain systems, schedules, and procedures.
  • Critical thinker, adept at problem-solving, multitasking, and adapting to new challenges.
  • Self-starter who takes initiative and is comfortable with and capable of working well without supervision.
  • Creative individual who actively seeks ways to adapt and improve.
  • Able to handle sensitive information with discretion and care.
  • Proficiency in Google Workspace (Docs, Sheets, Gmail) and Planning Center Online software.
  • Degree and/or experience in an administrative or office support role is an advantage.

CONTRIBUTION

  • Assist current Office Administrator where needed.
  • Provide receptionist support by greeting visitors and answering the main phone line.
  • Handle correspondence (emails, phone calls, mail) with utmost professionalism.
  • Oversee the ordering of all office and ministry supplies.
  • Support directors with other administrative tasks as needed.
  • Track and manage the police check process for all HCM volunteers and staff.
  • Manage the event calendar and create events as needed.
  • Implement and maintain office policies and procedures.
  • Provide coverage during the vacation of the Office Administrator.
  • Track expenses and ministry budgets.
